【概要】

The School Budget & Procurement Manager is responsible for overseeing budget management, procurement and expenditure control at Rugby School Japan.

Working closely with the School Leadership Team, Finance, Corporate Office and budget holders across the School, the postholder leads the annual budgeting process, monitors actual expenditure against budget, supports forecasting and financial reporting, and ensures that purchasing and procurement activities are managed effectively and in accordance with School policies.

The role also oversees vendor management, purchasing processes and cost control, helping departments make well-informed spending decisions while ensuring appropriate financial governance and value for money.

This is a hands-on management role requiring strong financial and analytical skills, excellent attention to detail, and the ability to work collaboratively with both academic and operational teams in a fast-growing international school.

１．Budget Management

• Coordinate and monitor departmental operating budgets
• Monitor monthly budget versus actual expenditure
• Identify overspend risks and recommend corrective actions
• Support budget planning and reforecasting
• Work closely with department leaders to ensure effective budget utilisation

２．Procurement & Vendor Management

• Review purchase requests and ensure compliance with procurement policies
• Coordinate procurement processes and approval workflows
• Obtain competitive quotations and negotiate with suppliers
• Develop strategic supplier relationships
• Identify opportunities for cost savings and purchasing efficiencies

３．Governance & Internal Control

• Ensure purchasing follows approval authorities and internal controls
• Maintain procurement records and documentation
• Support continuous improvement of procurement processes
• Promote financial discipline across the organisation

４．Cross-functional Collaboration

• Partner with Academic and Operations leaders on budget matters
• Liaise closely with the Corporate Finance team
• Support school leadership with financial analysis and reporting

本ポジションでは、COO直属のBudget & Procurement Managerとして、学校全体の予算執行管理、購買ガバナンス、コストマネジメント、ベンダーマネジメントをリードしていただきます。Academic、Pastoral、Co-Curricularを含む学校全体と連携しながら、限られた予算を最大限教育へ還元する重要な役割です。

【雇用形態】
契約社員
※国際的な学校で一般的に採用されている有期雇用契約です。正社員ご希望の方は検討可能。

【給与】
年収：600万円～900万円
※給与は年俸を12分割し毎月支給。
※経験・能力・前職給与等を考慮のうえ決定します。
※本ポジションでは、豊富な実務経験をお持ちの方の兼業・非常勤での参画も歓迎しています。
　勤務形態・報酬については、ご経験・ご担当いただく役割に応じて柔軟に決定します。

■賞与：年俸制のため原則賞与なし（業績等に応じて特別賞与を支給する場合があります。）

【就業時間】
基本は午前8時半ー午後5時半（1時間休憩）の8時間勤務

【休日休暇】

• 土曜日・日曜日は休日（学校行事等により勤務をお願いする場合あり）
• 祝日は原則勤務日（学校年間カレンダーによる勤務）
• 年間休日120日以上（学校カレンダーによる）
• 年次有給休暇：入社半年後から年間20日付与（うち15日間は学校が指定）
• 有給病気休暇（年間10日）
• その他、就業規則による

【Essential】

• Minimum five years' experience in budget management, FP&A, management accounting or procurement
• Experience managing budgets across multiple departments
• Strong analytical and financial management skills
• Experience negotiating with vendors and managing supplier relationships
• Professional working proficiency in English and Japanese
• Excellent organisational skills and attention to detail
• High integrity and the ability to build collaborative relationships across departments
• High level of integrity and confidentiality.

【Desirable】

• Experience within education, international schools or the not-for-profit sector
• Knowledge of Japanese procurement and internal approval processes
• Experience improving operational processes
• Understanding of British or international education environments
