Reception 10%:
Welcome visitors with furnishing them on office information, handle inquiries and direct them to appropriate persons or meeting rooms where visitors are expected.
Visitor cards management.
Handle incoming calls, mails, emails, couriers, parcels, receipts or invoices, documents and managing the relation with the delivery or courier company
Coordinate conference room reservations when they overlap for departmental projects or for visiting customers
Administration 90%:
To support the overall management of all office operations and services to the company standards.
Take care of the daily maintenance and cleaning of pantry, green office, stationary, cabinets and lockers, common office areas, etc.
Support Company's Purchasing policy and purchases processes.
Support on the maintaining corporate databases regarding company, departments, employees, phone directories, office rules, clean desk policy, etc.
Management of business cards, travel insurances, condolence, or congratulations requests or other regular enquires related with Admin area.
Support on the processes related to newcomers/leavers (office stationery, corporate badges support, etc.) together with P&C and FM.
To be proactive in cost reduction measures and benchmarking of vendors.
Support the Return to Office in different phases in co-operation with other departments.
Understand the company Workplace Guidelines and Assist with GRE and FM to implement when required.
Create employee business cards in company Standard format using Adobe Illustrator.
Managing visitor ID cards lent to overseas colleagues and customers
Manage the ordering and inventory of office fruits, snacks, and beverages
Request payment based on invoice once a month through Coupa System
Facilitates the New Hire Bootcamp session for Admin, Building, Facilities and OSH, covering comprehensive orientation on AB&F functions, services, policies, guidelines and OSH orientation.
Travel Management
Collaborate on the update of the corporate and preferred hotels list.
Support on Local Hotels reservations and visitors’ documentation, if needed.
Support staff in Business travel related topics and reservations, if needed.
To support with the relation with the local travel agents
Create invitation letters for colleagues coming to Japan from overseas, as required by country
Adhoc / Team Support
Event arrangement/preparation as requested.
