JOB RESPONSIBILITIES
Convert Purchase Requests into Purchase Orders in SAP.
Create new items in SAP.
Update new equipment warranty details, preventive maintenance schedules, and repair records in the AMS system.
Follow up on ETA and update revised ETA information in SAP.
Verify daily delivery documents for goods and services against SAP records.
Check invoices against SAP and route them through the Therefore system.
Contact vendors if invoices are not submitted during delivery; follow up and complete the necessary processing steps.
Request credit notes or revised invoices from vendors when discrepancies are found, and carry out the required follow‑up steps.
Ensure all goods and services rendered within the month are fully processed (Steps 1 to 4) before month‑end closing.
Monitor and clear emails in the Procurement inbox.
Handle users’ ETA enquiries when required.
Participate in quarterly stock‑take with procurement and receiving teams (2–3 hours per stock‑take).
File delivery documents systematically.
Perform other ad‑hoc duties as assigned.
Serve as backup for the other assistant during planned leave or medical leave.
JOB REQUIREMENTS
Minimum Diploma in procurement, supply chain, or a related field, with at least one year of relevant experience.
Strong attention to detail and accuracy.
Ability to multitask and meet deadlines.
Self‑motivated and proactive.
Good verbal and written communication skills.
