Human Resources Manager

Job Description

Recruitment

  1. Work with academic and non-academic Heads of Department to ensure that job descriptions for new and replacement roles are relevant and up to date.
  2. Ensure that academic and non-academic vacancies are advertised on appropriate websites, including the school website and portal, TES, the BSA and others.
  3. Ensure advertisement content is relevant, accurate and up to date.
  4. Take part in first round interviews for academic and non-academic positions.
  5. Working with the Head master’s PA, arrange second round interviews for the Head Master and other relevant staff.
  6. With the Head of HR prepare offers to be sent to successful candidates.

 

Safer recruitment

  1. Ensure school and group safer recruitment policies are adhered to.
  2. Follow up with candidates to make sure that all written and verbal references are obtained in a timely manner prior to appointment.
  3. Work with approved group vendors to ensure all police and background checks are in place for staff and contractors before they come onto campus and/or start their employment with the school.
  4. Assist with maintaining the school’s Single Central Record and personnel files (in both paper and electronic forms) are accurate and up to date.

 

Onboarding

  1. Oversee work of the HR & Payroll Officer in arranging visas and work permits for incoming staff.
  2. Assist with the planning of the summer onboarding programme for newly arriving academic staff.
  3. Work with travel agents to arrange the logistics of new staff arriving in Japan.
  4. Work with the Head of HR and the Head of Operations to ensure a smooth arrival for new staff, including being present when new staff get to Appi.
  5. Ensure provision of medical checks and Health & Safety training for new staff.
  6. Assist with the maintaining staff databases, ensuring they are accurate and up to date.

 

Retention

  1. Ensure staff contracts are up to date and stored in both hard and soft copies.
  2. Keep abreast of staff intentions around contract renewal, follow up on conversations about renewals.
  3. With the Head of HR and the Head Master, assess the school community in terms of talent identification and succession planning.

 

Payroll and invoicing

  1. Assist with monthly payroll preparation as required.
  2. Prepare invoices for payment by the Finance department.

 

Other responsibilities:

  1. Implementing safeguarding procedures at the school
  2. Undertaking additional duties as the school may reasonably request.
  3. Continually develop the knowledge and skills necessary to successfully fulfil the role.
  4. Attending all relevant meetings.

Visa Status Permission to work in Japan required

Required Skills

  1. Bachelor's degree in Human Resources or related field preferred.
  2. Three years of HR or related working experience.
  3. Good understanding of Japanese employment and labour law.
  4. Strong data analysis skills.
  5. Native level English essential, strong Japanese preferable.
  6. Capable of handling multiple tasks in a fast-paced environment.
  7. Positive, can-do attitude.
  8. Ability to talk to and work with staff at all levels.
  9. High levels of personal and professional integrity.
  10. Ability to exercise discretion and confidentiality.
  11. Customer-oriented and a professional approach to internal and external stakeholders at all times.
  12. Personal warmth to engage positively and gain confidence of students, staff and parents.
