Responsibilities
Responsibilities include, but are not limited to:

  • Understand and work along with the Company’s policies and vision
  • Efficient running of the office and its administrative, clerical and specific financial systems on a day to day basis
  • Providing administrative/financial support to the President

  • Having overall responsibility for staff use of system to record the business data in accordance with data protection and confidentiality policies.

General Tasks

  • Office management and administration including setting up where necessary all administrative systems in order to ensure the organisation runs efficiently and with accountability
  • Maintaining office diary and dealing with all incoming and outgoing post, keeping office inventories, and coordinating office maintenance
  • Establishing and maintaining general filing system
  • Translation and Interpretation work when needed
  • Assist and cover PA’ assignments when necessary
  • Provide positive energy to office environment
  • Provide general assistance to all staff in office
  • Managing and rent review with Landlord
  • Manage Corporate Credit Card
  • Handle Cooperate Investigation Companies 

Internal Staff HR Tasks

  • Hiring Process for new Internal Staff
  • Provide the orientation, set up PC, network for new internal staff
  • Enroll Social Insurance, Pension and Employment Insurance for new internal staff
  • Internal Staff Payroll Calculation
  • Keep updating Rules of Employment regulations and file to Labour Office
  • Retirement Process for Leaver Internal Staff
  • Remaining Paid Holiday calculation
  • Retirement allowance calculation
  • Handle any additional staff labour law procedure, such as statutory sick pay, maternity leave
  • Handling Year-End Tax Adjustment for Internal Staff
  • Reviewing and updating health and safety policies

IT Tasks

  • Manage IT support provided by IT vendor biweekly
  • Handling Antivirus, SSL, security, upgrading
  • Handling to replace Servers every 5 years
  • Purchase necessary IT supplies and update the IT Inventory List. 
  • Trouble shouting IT matters and arrange for IT vendor to fix

Sales Report

  • Financial Report by monthly
  • Analysis Report by monthly
  • Retained Revenue by monthly
  • Monthly sales profit by monthly
  • Captain’s Table result by quarterly
  • Corrective Measure by quarterly
  • Commission report by monthly and half a year

Financial Related

  • Issuing Haken and Outsourcing invoices based on client’s contract and timesheet
  • Issuing Placement and conversion’s invoices based on the offer letter and Master Agreement
  • Calculate payroll based on working staff timesheets and staff contract
  • Create Revenue sheet for Finance use
  • Calculate payroll based on Internal staff contract and scheme
  • Liaising with the Finance Dept. carrying out specific financial tasks as needed
  • Prepare and work with Finance Dept. for Annual Auditing.
  • Commission calculation for P1 (Jan – Jun), P2 (Jul – Dec)
  • Paid Holiday Remaining Calculation for accounting
  • Retirement Allowance Calculation for accounting
  • Biweekly Financial Meeting to attend, make the agenda to discuss and follow up
  • Manage Bank Card (Value Door) and payment arrangement

Administration

  • Haken Sales report for Jan – Dec to submit in March to Labour Office
  • Placement Sales report for Apr – Mar in April to Labour Office
  • Voluntary Insurance for Working Staff with Marsh in December
  • Master Agreements to manage
  • Each Department schemes to fully understand and up-to-date
  • Handle with Haken Associate
  • Handle with Haken Kenpo
  • Manage Privacy Mark to renew every other year

Legal

  • Handle any legal matters when occurred
  • Handle ‘Board of Directors Meeting Minutes’ quarterly 
  • Handle ‘Shareholders Meeting Minutes’ in March
  • Business License for Haken to up-to-date at all times
  • Business License for Placement to up-to-date at all times
  • Maintaining Haken business license for every 5 years
  • Maintaining Placement business license for every 5 years
  • Maintaining Trade Mark license for every 10 years
  • Handle ‘Corporate Certificate’ and ‘Certification Corporate Seal’ Inkan Toroku

スキル・資格

Requirements

  • Strong Business Language skills for both Japanese and English
  • Strong Word, Excel, PowerPoint operating skills
  • Payroll calculation knowledge
  • Basic IT knowledge
  • Strong vendor management skills
  • Japanese Standard Labour Law knowledge (willing to learn)
  • Japanese Haken Law knowledge (willing to learn)
  • Basic accounting / bookkeeping skills and experience
  • Reliability, Initiative, problem-solving, project management, communication and multitasking
  • Proactive and eagerness to improve systems and processes
