About the Client

Our client is a major financial institution in France with expertise in corporate and investment banking to asset management, securities services, global transaction banking and specialised financial services.

 

FM soft service management

  • Have a primary responsibility regarding all the soft services described below
  • Sort out various issues and queries from the users, create SOP manuals after standardizing the processes and actions, and hand over to the FM team.
  • Vendor management of Reception team and external vendors supplying Coffee machines, Water dispensers, Office plant and Flower delivery
  • Manage, support the services that are performed by either the outsourced vendors by the client or by JLL FM team such as Cleaning/Waste, Confidential waste, Off-site storage, Subscription order, Office supplies/stationaries order, Business card order, Café, Events support, Company housing program, and so on.
  • On the other hand, there are a couple of OUT-OF-SCOPE services that are Mail room operation, and Security card/Employee badge management
  • Keep fresh eyes on detecting improvement ideas contributing to either of Cost Saving, Environmental Benefit, Operational Efficiency Improvement, Customer Satisfaction, etc.
  • Attend monthly meeting inviting the client and present the summary of previous month.

 

Finance management

  • Ensure all received invoices (from both of JLL and the client’s General Affair related suppliers/vendors) are appropriately processed and tracked. Forecast vs. actual also needs to be tracked.
  • On a monthly basis, check the balance of payments and submit a monthly report to JLL regional finance team.

  • Have experiences in helpdesk, vendor management and administration task. 
  • Communication and interpersonal skill to build relationships with clients and related parties
  • Can put yourself in others’ position/thinking and consider how we can help
  • Can work proactively, flexibly and quickly having priorities
  • PC skills (Outlook, Excel, Word, PowerPoint, etc.)
  • English skill (TOEIC score > 700)
