Administrator / Soft service leader(Life science @Meguro)
Duties & responsibilities
Soft service management
- Manage and support temp staff
- Liaise with external vendors (Catering, Florist and courier etc) to ensure timely providence.
- Cover reception
- Handling daily mail room operation
- Payment process
- Resourcefully and calmly handle any issues and troubleshoot any unexpected situation within a timely frame (Helpdesk)
- Security card management
- Purchasing equipment
- Switch board
- Business card
- Employee badge
- Manage cafeteria equipment
- Manage FM Task
- Build relationships and be attuned with clients.
- Acts as the main/sub point of contact at all soft service coordination.
- Foster a sense of community and create happiness at work for the team, the client and their guest.
- Provide effective and accurate communication to client.
- Support the team with regular routine and inquiry.
- Ad hoc responsibilities assigned by Site Manager.
- Manage/Support JLL internal task (OPS AIDE, KPI, EHS, SOP, JDE etc)
- Proactive problem solving
- Experienced in helpdesk, vendor management and administration task.
- Prior experience to any management is an advantage.
- Prior experience to mail room services is an advantage.
- Proficiency with Microsoft Word, Excel and PowerPoint.
- Good command of verbal and written English.
- A meticulous individual to anticipate client needs.
- Must be proactive, individual and supportive.
- Ability to meet daily schedules and deliver high quality of work.
- Excellent in problem solving skills.
- High level of communication and interpersonal skills.
