Job Description

Bilingual Administrative Staff / Secretary

The Yokohama Association for International Communications and Exchanges (YOKE), is appointing a qualified administrative assistant/secretary to be seconded to the International Tropical Timber Organization (ITTO) Secretariat.  ITTO, headquartered in Yokohama, is a United Nations family organization that tackles issues related to conservation and sustainable management of tropical forests and tropical timber under the International Tropical Timber Agreement (ITTA), 2006, which was negotiated under the auspices of the United Nations Conference on Trade and Development (UNCTAD).  ITTO is the only treaty organization in the world that deals with tropical forests, and also the only UN family organization headquartered in Japan whose Secretariat is based on a treaty.

The vacant position is as below:
Duty Station:
International Organizations Center 5F Pacifico-Yokohama, 1-1-1 Minato-mirai, Nishi-ku, Yokohama, Japan

Date of Entry on Duty:
As soon as appointed

Duration of Assignment:
Initial contract until 31 March 2018
Fixed term one year renewable contract thereafter

▽ DUTIES AND RESPONSIBILITIES ▽
Under the direction of the Assistant Director for the Division of Operations, assist in:

  • Coordinate with the City of Yokohama and YOKE
  • Secretarial duties for the Division
  • Liaise with the protocol office of the Ministry of Foreign Affairs
  • Assist with HR related tasks including attendance management
  • Assisting with official travel related settlements
  • General office support and administrative tasks including managing official documents and communications, and preparing purchase orders
  • Carry out other tasks as appropriate

Required Skills

QUALIFICATIONS AND EXPERIENCE:
Suitable university degree; Fluency in English and proficiency in MS Office required; Knowledge of French and/or Spanish advantageous.

SALARY:
Salary approximately 7 million yen per year (comparable to UN GS-4/I level) plus transportation costs.  Paid annual leave 16 days plus 5 days of Summer Holiday annually from 1 April 2018.
