Job Description

Office Supervisor – Tokyo                                                                                       

Responsibilities:

Supervise the work of employees in office


- Hands-on responsibility for inside sales functions related to cost, pricing, orders and delivery

- Responsibility for invoicing and payments from customers (accounts receivables)


- Strengthen and build long-term relationships with customers and vendors


- Communication with inter-company International offices and factories


- Contribute to delegation of office duties among employees


- Create innovative solutions to office/working procedures

Core duties:

- Manage overall business operations in the Tokyo office

- Customer order management and use of ERP system (Microsoft Navision)

-Design a work schedule that optimizes employee time and skills

-Provide administrative support for management in areas related to accounting/finance, human resources, reporting, budgeting and other areas not mentioned above.

-Participate in creating policies and procedures for the Japan office

-Analyze the workplace situation to create means to optimize employee efficiency

Required Skills

Requirements:

-Office management, inside sales, customer service and administrative experience is a plus

-Excellent written and verbal communication skills for both internal and external communication

-General business commercial background is a plus

-Good interpersonal skills, with friendly, positive attitude

-Good negotiating skills with both customers and vendors

-Ability to work with details, part numbers, prices, margin calculation and some technical data

-General understanding of logistics, inventory control and stock management

-Basic understanding of import / export process and supply chain management

-Able to work under pressure and deadlines

-Willing to learn and undergo product training

-Ability to multi-task, prioritize and manage time effectively with quick responses to customer requests

-Business level English language (reading, writing and speaking)
Native level Japanese language ability (reading, writing and speaking)

Compensation: around 6M yen annually, plus social security benefits, and holidays
