Job Description

Professional role

The Admissions Officer will be responsible for admission of all new pupils to the school, as well as the planning, organisation and implementation of numerous events for prospective parents and their children. The role of the Admissions Officer is to assist and support the Department’s work in a professional, efficient, and welcoming manner.

Inevitably certain times of the academic year are pressured in the pattern of workload and it is important that the post holder is reliable and maintains a positive attitude. The successful candidate will be personable and have excellent communication skills.

Main Duties

  • Managing the Admissions email account, responding to emails in a timely, professional, and empathetic manner; 
  • Answering telephone enquiries;
  •  Using the School’s MIS to maintain regular communications with prospective parents throughout the admissions process; 
  • Assisting in the planning and implementation of assessment and scholarship days; 
  • Assisting in the preparation of outcome letters/communications for prospective parents; 
  • Carrying out data administration using the School’s Management Information System; 
  • Assisting in the preparation and running of internal admissions events, such as open days; 
  • Representing the school at external events – such as feeder school transfer events; 
  • Liaising with other departments within the School, as necessary, to facilitate the smooth running of the Admissions Department;
  • Carrying out general office duties to ensure the smooth running of the Admissions Office; 
  • Being willing to work flexibly as necessitated by the demands of the Admissions Department; 
  • Be aware of the School’s Health & Safety Policy; 
  • In conjunction with all staff of the School, support, promote and act within the School’s Safeguarding Policy

Appraisal and professional development 

  • Participate in arrangements made for staff appraisal and professional development. 
  • Undertake such training as may be reasonably required by the School to adapt to the changing requirements of the School or as may be necessary to fulfill the School's statutory or regulatory obligations. 
  • To undertake mandated job-related training as required and instructed by the School.

  • Fulfil wider professional responsibilities by making a positive contribution to the wider life and ethos of the School. 

Child protection, discipline, health, and safety 

  • Safeguard and promote the welfare of all the children and young people at Rugby School Japan. 
  • Maintain good order and discipline among the pupils and safeguard their health and safety both when they are on the School premises and when they are engaged in authorised School activities elsewhere.
  • Ensure all staff act in accordance with Rugby School’s policies and procedures.

Essential Qualifications

  • A Minimum secondary school level education.

Essential Experience

  • Experience of working in an admissions role, ideally in a school or customer-service driven environment.
  • Previous experience in customer service.

  • Ability to communicate effectively with pupils, staff, and leadership.

Preferred

These are extra qualities that can be used to choose between applicants who meet all the essential criteria:

  • Relevant professional qualification.
  • Experience in using a school information management system (e.g. iSAMS), is advantageous.
  • Fluent in English and Japanese.
  • Must be organised, accurate, thorough, and able to monitor work for quality.
  • A high degree of initiative and forward planning.
  • Evidence of ongoing professional learning. 
  • Admissions database experience.
  • Understanding of the British A Level and IGCSE examination system.
  • Thorough knowledge of English regulatory requirements related to National Minimum Standards for boarding. schools and Safeguarding and Child Protection.
  • Current knowledge of education landscape in Japan and trends in international education.

Qualifications, Identification, Health and Background Checks 

  • Please note that candidates may be required to bring documentation to the interview providing proof of identity and qualifications.
  • They may also be required, within the final appointment process, to undergo a health check and relevant background checks as part of the School's recruitment and safeguarding procedures.
