Our client is one of the most well-established European-based international pharmaceutical companies in Japan.

Responsibilities:

Process governance & risk mitigation:

  1. Take responsibility for the entire Event & Disclosure Management (EDM) process.
  2. Implement and execute global guidelines and procedures provided by Global EDM to guarantee process compliance, effectiveness and efficiency.
  3. Design, implement and maintain internal procedures to document process steps that might differ from global process standards to adhere to local regulations. If global tools and processes are not implemented yet, ensure risk mitigation measures and fulfill minimum documentation requirements.
  4. Engage with global and regional EDM projects and initiatives as a strategic leader.

Stakeholder engagement & community management:

  • Strong stakeholder engagement to build trusted relationship, stay informed about divisional strategy, future development plan, projects etc.
  • Develop together with stakeholders and agency account manager the annual schedule for divisional meetings and events and ensures consistent demand planning.
  • Provide overall counseling on how to reach business goals with events as marketing tool.
  • Stay up to date of industry trends and innovation and shares best practices with the Event Management community worldwide.
  • Provides continuous feedback, recommending changes when appropriate and serves as escalation point for operational teams and Event Owners.
  • Build up and coordinate an active and cross-functional Disclosure Management community within the country with focus on knowledge exchange, business insights and efficient processes and contribute to the global Disclosure Management community.

Supplier management Partnering with Procurement to define EM supplier roster and develop RFPs in conjunction with Procurement following the company's procurement policies and guidelines:

  • Direct, manage and monitor the activities and responsibilities of the third-party event agency and, if existing, team of Event Consultants.
  • Manage assignments and work load to the third-party event agency and, if existing, team of Event Consultants to ensure an appropriate and even distribution of work within the team while using the required tool for event management.
  • Strong involvement in key events to provide event expertise, steer third-party event agency in planning, coordination and execution on single event level.

Data collection for Disclosure Management Be accountable for the preparation and presentation of the Transparency Statements, reporting transfers of value to HealthCare Professionals (HCP) or HealthCare organizations (HCO), according to the country/country group specific disclosure code or legislation:

  • Ensure proper implementation of globally defined group disclosure standards, best practices, enablers and processes.
  • Partner with LPC to ensure that a Disclosure consent is in place according to data privacy requirements and global process guidance.
  • Ensure that documentation for consent related processes (incl. archiving documents) is in place.
  • Monitor progress of consent development and potential compliance observations and periodically report to Country Senior Management on progress.

Data transparency & reporting/ financials Provide data transparency and reporting on local level:

  • Ensure timely and high qualitative transparency reporting by exercising oversights and ownership on data

Required Skills

  • Business Studies degree, preferably in business administration, finance & accounting, marketing/commercial or an equivalent qualification
  • Experience in life science industry with a concentration in the Pharmaceutical area will be an advantage
  • Previous experience in steering and supervising project teams and third-party suppliers.
  • Several years of working experiences (10+) in the area of Congress & Event Management, and/or Disclosure Management, and/or Procurement and/or Marketing with a solid track record of success, preferably in operational positions.
  • Fluent in Japanese Language and English (TOEIC 730 or above)
  • Process management skills
  • Excellent analytical and problem solving skills
  • Project management skills
  • Strong presentation and communication skills & ability to work with people from a variety of different cultures and backgrounds
  • Computer skills (SAP, MS Excel/PowerPoint/Word and globally used analytic tools)
